How to respond to Google reviews

Replying to a Google review takes about ninety seconds once you know the structure. This page gives the structure, the mechanics, and an example reply for each star rating.

How do I reply to a Google review?

Sign in to the Google account that manages your Business Profile, search for your business name on Google, open the Reviews tab in the profile manager, find the review, and select Reply. The reply publishes under your business name and is visible to everyone who reads the review. Only the profile owner or a manager can reply.

What should a good Google review reply contain?

Four things: the reviewer’s name, one specific detail from their review so it is clear you read it, a direct response to the point they made, and a next step. Anything that could be pasted under a different review is not doing any work.

  1. Open with their name — Using the reviewer’s name signals a person replied, not a system.
  2. Name the specific thing — Quote or paraphrase the detail they raised — the dish, the wait, the technician.
  3. Answer it — Thank them for praise, or acknowledge the failure without excuses. Do not dispute their experience.
  4. Say what happens next — For praise, an invitation back. For a complaint, a direct email or phone route and, if true, the change you are making.
  5. Stop — Two to four sentences. Long replies to short reviews read as defensive.

How long should a reply to a Google review be?

Two to four sentences, roughly 30 to 70 words. The exception is a detailed serious complaint, where three to five sentences are reasonable because a one-line reply to a long grievance reads as dismissive.

How quickly should you respond to a Google review?

Within 24 to 48 hours for a negative review and within a week for a positive one. The reason is not the platform, it is the reader: a complaint that has sat unanswered for a month looks like a business that does not read its reviews, and that is what the next customer concludes.

If you’d like to try us on a quieter evening, email me directly at [address] and I’ll look after the booking."

1 star, serious complaint

*"Booked for our anniversary, reservation was lost, waited 30 minutes, food arrived cold. Manager didn’t care."* — Reply: "This is not how we want anyone to spend an anniversary, and I’m sorry — losing your reservation and serving cold food are both on us. I’d like to understand what happened with the manager on the night. Please email me at [address]; I’ll reply personally."

Should you reply to every Google review?

Reply to every negative review and every detailed positive one. One-word 5-star reviews with no text can be left or answered with a brief thanks; there is nothing to respond to and a template reply under a dozen of them is visible as a template. Priority order: negative first, detailed positive second, everything else last.

Can you use AI to write Google review replies?

Yes, and Google does not prohibit it — what the platforms prohibit is fake and incentivised reviews, not owner replies written with software help. The practical requirement is that a person reads the draft before it publishes. Does the reviewer get notified when I reply?

Google notifies the reviewer by email that the business responded, which is why a reply can recover a customer and not only reassure future readers.

Can I reply to an old Google review?

Yes, there is no time limit on an owner response. Working through a backlog of unanswered reviews is a reasonable first project, starting with the worst ratings.
